Privacy Policy.

1. Introduction

Binary Budds ("we", "us", or "our") operates the BB Fleet Tracker mobile application and web portal (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. By using the Service, you consent to the data practices described in this policy.

2. Data We Collect

GPS & Location Data

The BB Fleet Tracker mobile app collects precise, real-time GPS location data from driver devices. Location is captured continuously while a trip is active and may be collected in the background when the driver app is running. This data is used solely to display live bus positions to authorised parents and school administrators.

Account & Identity Data

We collect names, email addresses, phone numbers, and school affiliations when accounts are created. Parent accounts are linked to specific students. Driver accounts are linked to specific buses and routes.

Push Notification Tokens

We collect device push notification tokens (via Firebase Cloud Messaging) to deliver real-time alerts — such as bus arrival notifications — to parent devices. These tokens are linked to your account and are deleted when you log out or delete your account.

Usage & Diagnostic Data

We may collect crash reports and diagnostic information via Sentry to improve app stability. This data is anonymised where possible and is never used for advertising purposes.

Hardware Telemetry

Teltonika FMC920 hardware devices installed in buses transmit GPS coordinates, ignition status, and safety events (e.g., harsh braking) via encrypted GSM channels to our servers.

3. How We Use Your Data

  • To provide real-time bus tracking to authorised parents and school administrators
  • To send push notifications about bus arrivals and school alerts
  • To authenticate users and maintain account security
  • To enable school administrators to manage routes, drivers, and student assignments
  • To improve app performance and fix crashes via diagnostic data
  • To comply with legal obligations

4. Data Retention

GPS trip history is retained for up to 12 months from the date of collection, after which it is permanently deleted. Account data is retained for as long as your account remains active. Upon account deletion, all personal data associated with your account is purged within 30 days. Push notification tokens are deleted immediately upon logout or account deletion.

5. Third-Party Services

We use the following third-party services to operate the platform. Each provider processes data in accordance with their own privacy policies:

Supabase

Stores user accounts, student/parent/driver records, school data, and route information in a managed PostgreSQL database hosted on AWS infrastructure.

Firebase (Google)

Used exclusively for delivering push notifications to mobile devices via Firebase Cloud Messaging (FCM). We do not use Firebase Analytics or Ads.

Sentry

Receives anonymised crash reports and error diagnostics to help us identify and fix app issues. Sentry does not receive personally identifiable GPS or student data.

InfluxDB

Stores time-series GPS data from hardware devices to power historical route visualisations. Data is purged on the same 12-month schedule as all GPS data.

6. Data Sovereignty & Ownership

All data processed through BB Fleet Tracker is owned by the respective school district or transport provider. Binary Budds acts solely as a data processor on behalf of the school. Schools retain full rights to request export or deletion of their data at any time.

7. Parental Access Controls

Parent accounts are granted read-only privileges restricted to the specific route their assigned child is on. Live tracking is only visible during active transit hours. Parents cannot access data for students other than their own.

8. Location Data — Background Access

The BB Fleet Tracker driver app requires background location access to continuously stream GPS position while a route is in progress. This permission is requested only for driver accounts. The app displays a clear disclosure before requesting this permission. Location tracking is active only when a driver has started a trip and stops automatically when the trip is ended.

9. Your Rights (GDPR & DPDP 2023)

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Right of Access — Request a copy of the personal data we hold about you
  • Right to Rectification — Request correction of inaccurate personal data
  • Right to Erasure — Request deletion of your account and associated data
  • Right to Restriction — Request that we limit how we process your data
  • Right to Portability — Request your data in a structured, machine-readable format
  • Right to Object — Object to processing of your data in certain circumstances

10. Account Deletion

You may request deletion of your account and all associated personal data at any time. To submit a deletion request, visit fleet.binarybudds.com/delete-account or contact us at privacy@binarybudds.com. All personal data will be permanently removed within 30 days of a confirmed request.

11. Data Security

All data in transit is encrypted using TLS 1.2 or higher. GPS telemetry from hardware devices is transmitted via encrypted GSM channels. Database access is restricted by role-based permissions. We conduct regular security reviews of our infrastructure and access controls.

12. Children's Privacy

BB Fleet Tracker is designed for use by school administrators, drivers, and parents — not by minors directly. We do not knowingly allow children under the age of 13 to create accounts. Student records are created and managed by school administrators on behalf of enrolled students. If you believe we have inadvertently collected information from a child, please contact us immediately at privacy@binarybudds.com.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Revised" date at the top of this page and notify active users via email or in-app notification. Continued use of the Service after changes constitutes acceptance of the updated policy.
